Ora Retreats is a commercial name used by Julie De Winter, operating as a sole proprietorship, with registered address at Albert Claudestraat 12, 2018 Antwerpen, Belgium, registered with the Belgian Crossroads Bank for Enterprises under number 1041049530.

When you fill in a contact form, request an invitation, subscribe to updates, book or participate in a retreat, we may collect:

- information contained in your correspondence with us;

5. Who we share your information with
We may share limited personal data with parties directly involved in organising or delivering a retreat, such as:

- our accountant, insurer or professional advisers;

We only share information that is necessary for the relevant purpose. For example, a caterer may be informed of an allergy, but will not receive other information that is not relevant to the preparation of meals.
Where an external service provider processes personal data on our behalf, we take appropriate measures to ensure that your data is processed securely and in accordance with applicable data protection legislation.

Some of the service providers we use may process personal data outside the European Economic Area. 7. How long we keep your information

- contact requests are retained for up to two years after the last contact;
- booking and participation information is retained for as long as necessary to perform the agreement and to manage possible claims;
- invoices and accounting records are retained for the legally required retention period;
- health, dietary and emergency information is retained only for as long as reasonably necessary to organise and complete the retreat, unless an incident or legal claim requires longer retention;
- newsletter details are retained until you unsubscribe;
- photographs and videos are retained for as long as they remain relevant for the purpose for which permission was given, or until you withdraw your consent for future use.
After the applicable retention period, your personal data is deleted or anonymised.
8. Data protection
We take appropriate technical and organisational measures to protect your personal data against loss, misuse, unauthorised access, disclosure or alteration. Access to personal data is limited to those who need the information to organise and provide our retreats or to perform supporting administrative tasks.

Operational communications relating to an existing booking, such as payment confirmations or practical retreat information, are not marketing communications.
11. Photographs and videos
Photographs or videos may be taken during a retreat. Recognisable photographs or videos of participants will only be used for promotional purposes, such as on our website, social media or in newsletters, where an appropriate legal basis applies and, where required, permission has been obtained.
You may withdraw your consent for future use by contacting us at hello@ora-retreats.com. Withdrawal does not affect uses that took place lawfully before your consent was withdrawn.
